About the Opportunity

Marlow Recruitment is partnering with a highly regarded boutique accounting firm in Malvern, Melbourne to appoint an experienced Executive Assistant / Client Services Administrator.

This is a pivotal, hands-on role supporting a busy Director within a well-established and professional practice. Sitting at the heart of the business, you will act as a key liaison between clients, Directors and internal teams while ensuring seamless coordination of administrative, compliance and workflow processes.

The Role

This is a varied and high-responsibility position where you will take ownership of end-to-end client administration, including:

  • Managing client relationships and responding to queries with professionalism
  • Drafting correspondence for clients and stakeholders
  • Maintaining practice management systems for a large client portfolio
  • Collating financial statements, tax returns and SMSF documentation
  • Lodging tax returns and tracking compliance deadlines
  • Managing client onboarding and ATO/ABR obligations
  • Providing high-level EA support including diary management and meeting coordination
  • Supporting workflow management, invoicing and administrative processes

About You

To be successful, you will bring:

  • Minimum 3+ years’ experience in an Executive Assistant / Client Services Administrator, or similar, role within an accounting practice- ESSENTIAL
  • Minimum 2 years’ experience supporting a Partner or Director in a professional services environment
  • Professional and personable communication style, with the ability to build rapport with clients and manage queries in a timely and confidential manner
  • Demonstrated ability to handle sensitive client information with confidentiality, integrity and professionalism at all times
  • Willingness and preference to work full-time in a professional office environment
